From installation through capturing, connecting, organizing, writing, portfolios, and export, all the way to room collaboration — for each feature, we walk you through what it is, how to use it, and how to make the most of it, in order.
01Getting startedWorks offline
knoriai is a desktop app that gathers your easily-scattered creative process in one place, so you can later bring it back to life as an artist statement, a portfolio, or exhibition materials. When you keep not just finished work but also studies, experiments, and exhibitions you've visited, that record keeps becoming raw material for your next piece. Most of it works just the same even without an internet connection.
The flow knoriai supports
Capture → Connect → Organize & research → Writing → Portfolio → Export. It's a virtuous cycle where the record you build up becomes the material for the next step. This guide follows that same order.
Installation
- On the download page at knoriai.com, grab the installer that matches your computer. (Windows 10/11 / macOS 10.15 or later)
- Run the downloaded file to install.
- Open the app and you can start right away. Your personal records work as-is, no sign-in needed.
Screen layout — three vertical columns
- Far left (room list) — your personal space "Me" and the rooms you've joined are stacked vertically. Use the + at the very bottom to create or join a room.
- Menu — where you choose what to do next. From the top: Home, Capture, Connect, Organize & Research, Writing, Gallery, Portfolio, Feedback Received, and Trash.
- Workspace — the actual screen for the menu you picked opens on the right.
If the window feels cramped, use the Wide button at the top to hide the menu and work in a focused, distraction-free view.
How to make the most of it
- When you sit down in the studio, make a habit of opening knoriai first and leaving at least one photo of that day's work as a record. The more time passes, the more it becomes an asset worth looking back on.
- If you move between a desktop and a laptop, turn on device sync so you can pick up the same records anywhere.
02CapturingWorks offline
Capturing is where knoriai begins. Beyond finished work, you can keep every creative moment — studies, failures, material experiments, exhibitions you visited, reference clippings, and more. So you can later retrace "why did I do it this way back then?", the key is to capture the result together with your thinking that day.
Jot down a quick line
- Open Capture from the left menu.
- Type a line in the Quick note field at the top and press Enter — it saves instantly.
Write in detail
- Click New record at the top right.
- Enter a title (a title is required to save), then choose a type.
- Add the work date (today by default) and tags (type and press Enter).
- In the work log fields (materials · state of the work · state of the artist), leave notes about your day.
- The body uses a rich-text editor, so you can add bold, color, headings, lists, tables, images, and links.
- Click Save to move to the read view.
Four types, sorted like this
- Work — creative results you made yourself, and their process.
- Activity — things around your practice, like exhibition visits, workshops, and meetings.
- Reference — reference images, texts, and clippings.
- Note — thoughts and idea memos as they come to you.
Work timer — press Start work inside a record and it times your work session. You can pause, resume, or edit it manually, and the time saves automatically.
Adding photos and files
- You can drag photos onto a saved record, or paste them with Ctrl+V.
- If you have a lot of existing work files, use Import folder / Import files on the Capture screen to bring them in all at once.
How to make the most of it
- Don't just upload photos — jot down at least one line about how you felt that day in the state of the artist field of the work log. It becomes the most valuable material later when you write your artist statement.
- If you saw an exhibition, keep it as an Activity and attach photos of works that struck you. You can later connect them as context that influenced your own work.
- The hours accumulated by the work timer can serve as "proof of work" for coursework, residencies, or grant applications.
03ConnectingWorks offline
As records pile up, the relationships between them start to matter. When you link which study led to which finished piece, and where an idea came from, scattered records become a single story.
How to create a connection
- In a record's body, add another record's name in the form [[Record title]] and save. (Type [[ and an autocomplete pops up.)
- The two records link to each other and are joined by a line in the graph.
Four views on the Connect screen
Open Connect in the menu and switch views with the tabs at the top.
- Organize — search by title and body, filter by type, and sort. View as a list or a board (kanban), and group into collections.
- Timeline — scan straight through in order of work date to see the flow.
- Graph — a map that draws records as dots and connections as lines. Let them float freely, or follow the roots like a "family tree."
- Keywords — highlight important words in your text to register and gather them in one place.
How to make the most of it
- For a series, create one anchor record (e.g. [[Preparing for my 2026 solo show]]) and connect all the related studies and references to that title. They show up as one cluster in the graph.
- When you get stuck writing, follow the roots of your work with the graph's family tree view. The origins of your thinking become visible.
- Register a theme word of your own, like color experiments, as a keyword, and you can gather the same concern scattered across many records in one go.
04Organize & research (Ethos AI)Sign-in required
Ethos is an AI assistant that organizes and researches alongside you, based on your own records and writing. You can open it from Organize & Research in the left menu, or call it up with the Ethos button at the bottom right of any screen.
Which plans include it
Ethos comes with the paid plans, from Basic up. The Free plan doesn't include AI features — Capture, Connect, Organize, Writing, Gallery, and Portfolio all still work just the same. See Plans for what each plan includes.
You decide what it can read
Under Settings › App settings › What Ethos can read you can turn Records and Writing on or off separately (both start on). Turn one off and that kind of content is never passed to Ethos.
Nothing is sent without your consent
Separately from those switches, sending content to the AI server needs your one-time consent. Until you give it, nothing is sent — even with the switches on.
How to make the most of it
- Ask things like "What theme runs through these works?" or "Summarize the flow of my work this semester" to find a starting thread for your artist statement.
- Ethos's suggestions are always shown to you as suggestions first — they only land in your writing after you press the button to accept them.
05WritingWorks offline
Write artist statements, work descriptions, critiques, and applications grounded in the records you've accumulated. Because you write from your actual records rather than memory, the content stays concrete and doesn't drift from the facts.
- From the menu, go to Writing → New piece.
- Write the title and body with the rich-text editor.
- Open Sources, pick the records your writing draws on, and pin them — then you can jump from your writing to the original with a single click (without the contents getting mixed up).
- When you're done, save it as a file with Export PDF.
How to make the most of it
- When writing an artist statement, pin the related records as Sources — so even if an advisor or reviewer asks "what's the basis for this sentence?", you can show them the original right away.
- For pieces you revise many times, like applications or exhibition forewords, refine them here and export to PDF to submit.
06GalleryWorks offline
A place to organize photos of your finished works, catalog-style, together with their details (captions). Curate it well here and it leads straight into portfolios, exhibitions, and sales materials.
- Open Gallery from the menu.
- Drag photos in, paste them (Ctrl+V), or upload them with Choose files.
- Fill in details like title, materials, size, year, period, and collection/owner.
- Select the works you want and click Build a portfolio from selected works to carry them into a portfolio.
How to make the most of it
- Every time you finish a piece, upload it to the Gallery right away and fill in materials, size, and year. Then you won't have to build materials from scratch when submitting to an exhibition or art fair.
- Group by period (in school, after graduation, and so on) or by year to see how your work has changed at a glance.
07PortfolioWorks offline
Freely arrange works and writing to build a portfolio all your own. You place elements like on a canvas and adjust size and position, so you can compose it however you like with no fixed template.
- From the menu, go to Portfolio → New portfolio.
- Place text and works (images) on the canvas, then drag to adjust position, size, and rotation. Multiple pages are supported too.
- Your work saves automatically.
- When it's done, save it with Export PPT or Export PDF(you can choose the quality).
How to make the most of it
- Requirements differ by where you submit, so build separate portfolios for each purpose (e.g. for grad school, for competitions, for galleries).
- It's much faster to start by picking works in the Gallery and using Build a portfolio from selected works.
- When it's finished, export to PPT for presentation materials, or to PDF for submissions.
08ExportWorks offline
Pull your finished results out as files. Everything is processed on your own computer (no internet needed). Export isn't a separate menu — you run it from a button on each screen.
- PDF — from the record read view, Writing, Portfolio, and Feedback Received (print).
- PPT (editable) — from Portfolio (the canvas portfolio).
- Word document — via Word (Hangul) on the record read view. It opens in both MS Word and Hangul (Hancom).
Word (Hangul) means "a Word document (.doc) that also opens in Hangul." Saving to the Hangul-only .hwp format is not supported yet.
How to make the most of it
- Schools and competitions usually accept PDFs. Export your portfolio or artist statement to PDF and it's ready to submit as-is.
- For presentations and critiques, export to PPT and explain as you flip through the slides (you can even edit on the spot).
- For places that only accept Hangul (Hancom), export your writing with Word (Hangul).
09Home & calendarWorks offline
The first screen you see when you open the app. It captures deadlines and recent activity at a glance.
- Three cards at the top — Today · Upcoming deadlines · Recent records.
- Add and edit events on the big calendar (title, type, date, time, place, notes, and linked records).
- You can create your own event types (color and name).
How to make the most of it
- Add competition deadlines and assignment due dates as events, and the Upcoming deadlines card will remind you ahead of time.
- Link related records to an event, and you can jump straight to the work tied to that exhibition or assignment.
10Rooms (collaboration)Sign-in required
A shared space for groups, like critiques, classes, and study circles. Your personal records stay put, and you only share what you want to show by uploading a copy to the room. (Rooms require sign-in.)
Creating and joining a room
- Click the + at the very bottom of the room list on the left.
- In Create room, set the room name and default categories, or paste a code you received into Join with invite code.
Inside a room
- Three tabs across the top — Home (notices, schedule, members) · Member status board (a table of who submitted what) · Notice board.
- Roles are split into Owner · Sub-admin · Member · Viewer. Only owners/sub-admins can post notices, manage categories, and manage members.
Uploading your records to a room
- On a personal record's read view, click Upload to shared room.
- Choose the room and category, then upload.
For now, the body, work log, and work time are uploaded. Uploading attached photos along with it is coming soon. Uploaded records are read-only in the room.
Room settings
From the gear icon next to the room name, you can issue an invite code, change member roles, leave the room, and (for owners) delete the room.
How to make the most of it
- For a class, the professor creates the room and students join with an invite code, submitting assignments by category.
- The member status board shows who submitted what at a glance, making it easy to nudge people to submit.
- Uploaded records are copies, so sharing to a room keeps your originals safe.
11Feedback receivedSign-in required
A place to gather the feedback you've received across multiple rooms in one spot, and revise your work side by side with the original.
- Feedback you receive collects under Feedback Received in the menu (with a badge for the unread count).
- Open a piece of feedback to see correction suggestions, notes, references, and attachments.
- Use View side by side with the original to compare against your own original, or Edit the original and Print (PDF).
For individual users, this is for reading the feedback you received and revising your original (there's no reply feature). Writing feedback is a feature for the professor/owner side of a room.
How to make the most of it
- View a professor's or senior's correction suggestions side by side with the original and apply them right away.
- Print feedback (PDF) to keep it as a record of the critique.
12Account and sign-inSign-in required
Personal records work without signing in, but rooms and device sync require an account.
Sign up · Sign in
- Click Sign in / Sign up at the bottom left.
- Sign up with a display name (e.g. Yeonwoo Seo) · email · password (6+ characters). A unique tag (e.g. Yeonwoo Seo#0427) is appended to your name automatically.
- After signing up, confirm your email and sign in.
Besides email + password, you can also sign in with your Google or Apple account. Naver and Kakao sign-in are coming soon.
Managing your account
Under Settings › Account you can change your display name, email, and password, and sign out.
Account deletion doesn't have an in-app button yet. If you'd like to delete your account, email ceo@knoriai.com and we'll destroy your account and the related personal data.
How to make the most of it
- If you only do personal work, you can keep using the app without signing in. Sign up only when you need rooms or sync across multiple devices.
- The unique tag (Name#0427) tells apart people with the same name in a room.
13Device syncSign-in required
To see the same personal records on multiple devices, turn on sync. The contents are end-to-end encrypted, so even the server can't open them.
Settings › Account › Device sync › Open sync settings
- Set a sync passphrase (different from your sign-in password, 8+ characters).
- Keep the recovery code that comes with it somewhere safe.
- Once you sign in, device sync starts automatically.
Be sure to remember
If you lose both the sync passphrase and the recovery code, no one — not even us — can recover them. Be sure to store them separately and safely.
How to make the most of it
- If you move between a studio desktop and a home laptop, use sync to pick up the same records anywhere.
- Keep your recovery code separately in a password manager or a secure note. If you lose it, recovery is impossible.
14App settings and plans
Manage your display and usage information.
App settings
Under Settings › App settings you can change the theme (light, dark, system), the start screen, and the font size.
How to make the most of it
- If you work at night a lot, go easy on your eyes with the dark theme.
- Set your start screen to Capture and you can start recording the moment you open the app.
Plans
Capture, Connect, Organize, Writing, Gallery, Portfolio, basic export, and device sync are free to use. AI (Ethos) and high-quality export are the parts that belong to the paid plans.
There are four plans — Free · Basic · Pro · Atelier. You start a subscription inside the app, and manage or cancel it under Settings › Subscription. Payment is handled by Paddle as the merchant of record. For what each plan includes and the current pricing, see Plans.
